New Update Release, 3.00.02.00

The latest system update for theDMSeffect, 3.00.02.00, has now been rolled out to all our clients.

We will continue to blog updates about our Drawing Management Software while we continue developing towards our upcoming major 3.001.00.00 version update. For more details about the next major system update, go to the heading:     Major Revision 3.001.00.00

 

Improvements in this Update:

  • New PDF Tools Added

PDF Preview

PDF Preview has now been implemented into the system. As shown below, PDF it is found to the immediate right of the Download PDF File button.

PDF Rotate

Users can now utilise PDF Rotate. Simply click on the Document Title, as highlighted on the left of the below picture, this will then open the pop-up Document Detail page. Scroll down to the bottom of the Details page and users can find the function on the right, as highlighted. Click the blue circle icons to rotate the document right and left.

Workpack Creation

Found in the More Actions tab after selecting the required documents, Workpack Creation allow for users to make a folder combining a set of documents.

For example, all the plant items on a specific site can be put into one folder. This limits the chance of users accidentally missing one or more documents they may need when downloading files. In addition, these Workpacks guarantee that the latest drawing and document revisions are easy to find and download from the system.

  • Uploading Alert

Upon uploading via the new Upload Documents page, a message will be displayed to the top of the page. This message explains that when an exclamation mark appears next to a drawing or documents name, there is an issue that needs to be addressed by the person uploading the document. In addition, the number of Problem Documents will be shown blue refresh button, as shown below.

If there is a problem document, an orange exclamation bubble will appear next tot the Document Number. If the user hovers over the bubble, a note will appear in charcoal identifying the issue. Furthermore, any required information needed before uploading will be highlighted in orange, as shown in the below image.

  • Search File Details

The Search File Details menu has been updated. The layout is now more spaced out and uncluttered, an ‘Apply All’ button has now been added to the top of the ‘Search File Details’ menu, as well as after commencing a search, the site being searched on will now be displayed underneath the ‘Search’ title.

Additional Changes:

  • Document Search has been fixed
  • Users Accounts can be found on their allocated Site via their registered email address
  • The Automatic Refresh when switching between pages is much faster now
  • Username list scroll function fixed,
  • Horizontal Scroll bar

Major Revision 3.01.00.00

This development will be rolling out from next week and will introduce caching on the user end. This means navigating the system and conducting searches will be lightning fast, drastically enhancing the usability of the system.

Entirely New Version Release, 3.0

The latest version of theDMSeffect has now officially rolled out to all clients!

This long-awaited update introduces a smoother and simplistic user interface, increasing the functionality of the document and drawing management system.

The new version of theDMSeffect has been entirely rebuilt from the ground-up in ASP.Net Core. This means that no matter what new technology is introduced, our system will utilize it while employing it to grow stronger and more efficient.

Additionally, theDMSeffect does not rely on third party libraries or software. As a result, it will be more stable and easier to make changes moving forward.
We will continue to blog updates while we keep on developing towards the upcoming major 3.1 version.

Major Changes Made:

  • Users and Permissions

    Users can now hold different roles or levels of permissions across multiple sites.

    For example, a user can now hold the role of Base User on one site while holding a Contributor role on another site.

 

  • Search and Filter Function

    The search/filter function has now been moved to the right side of the page.

    However, if you prefer version two’s layout of the function, simply click the switch beside the function labelled ‘Switch to a new interface’.

 

Default Document Dashboard Display

 

  • Maximum Results to Return

    From now on, all site documents will be loaded onto the Document Dashboard prior to using the search/filter function. As a result, you won’t need to enter anything in the search bar or select a filter in order to gain access to the document or drawings.

  • Added Pagination

    Pagination can either increase or reduce the number of documents displayed on the Document Dashboard.

    Additionally, the user can now also change their default page size number in their profile settings.

 

  • Additional Tools

    To see the ‘Additional Tools‘ section, you need to first select at least one document or drawing. This can be done by either clicking the check box at the start of the row, or by clicking generally on the file’s row.
    From here you can select various Additional Tools including the add to cart, download, approve and reject options.

  • Cart Management

    The Cart is no longer on a separate page!
    It is now found on the Additional Tools tab that will appear at the bottom of the page after you have selected at least one file. All selected documents and drawings will be shown on the far left of the Additional Tools bar. Please refer to the previous image for an example.
    This tab will appear on both the Main Dashboard as well as the Approval Page (Cart Tab). Furthermore, users can now download a book of revisions in the Approval Page.

 

  • Document Uploading

    All uploads are now completed on a single page, the ‘Upload Documents‘ page.
    No matter what document you wish to upload, the uploading method will stay the same. This includes uploading a single document, a batch of documents, or uploading new versions of existing documents or drawings.
    The metadata population can be populated or reviewed during the upload process.

Minor Changes Made

  • Notifications

    Although it is still located in the top-right-hand corner of the page, the Notifications icon has changed from text to a bell icon.
    The notifications bell will show you the amount of activity messages waiting for you to review. Simply click on the bell to view your notification messages.

  • Sign Out

    Just hover the mouse icon over your username and a drop-down list will appear, displaying the ‘Sign Out’ option.

  • On Leave

    Users can now mark their account as being on leave in the ‘My Profile‘ section.

Version 2.39

Latest Version Release 2.39 Roll-out

Periodically we will be doing version roll-outs while we look at a new 3.0 version of the system.

The latest version 2.39 has been rolled out and now the functionality is accessible to all.

 

Changes made:

Secured PDFs

Issue:

Secured PDF files have started to identify errors in the system.

When a secured PDF file is uploaded to the system it cannot be used in the way a normal unsecured pdf file is.

The secured files cannot be stitched together with other PDF files like our books dashboard and clicking on the books download icon does.

Secured PDF files also does not allow our system to put watermarks on the files.

As such an error is shown to the user whenever any of these processes are attempted.

 

Solution:

All PDF files are now reviewed by the system when being uploaded and the uploader is informed with a warning if a file is secured.

The warning notes the user can upload the secured PDF file/s but they will lose the functionality of books and watermarks.

The symbol on the main dashboard and in the approval summary page is then shown differently with a padlock to indicate the different functionality.

Should a user try to add a secured PDF file to a book or try to use the download as a book icon on the main dashboard, the user will be informed this cannot be done and why.

If a document already exists in a book on the books dashboard and a user attempts to upload a newer revision which is secured the user will be informed this cannot be done.

Simply because the book would no longer be downloadable – the user would have to use an unsecured version or remove the document from the affected book.

Any document marked as secured will not be able to use the theDMSeffect watermark system.

With the introduction of secured PDF file checking upon upload to the theDMSeffect system we also need to be able to check existing files.

This can now be done using the Check for Locked PDFs utility.

There is no need to run this utility on your system as we have already done this for you.

So if you see the padlock on the PDF download icon you will now know why.

Error on the Approval Summary Page

Within the Approval Summary Page there has been an error.

Clicking the document number hyperlink would normally bring up a function Document Detail Page.

However, recently it has showed the below error instead.

Default Dashboard

Within the My Profile section, users could select which dashboard they would prefer to see when first logging in.

However this has stopped working on some installations.

This version fixes the Default Dashboard to once again work for all clients.

 

Version 3.00 is coming

Here at Drawing Managers we have commenced the build of Version 3 of theDMSeffect.

The project started in June and is currently at iteration 3 with many more iterations to go.

As we get closer to rolling out the new version we will let you know so we can ease the process of transition.

Version 2.36

Latest Version Release 2.36 Roll-out

Periodically we will be doing version roll-outs while we look at a new 3.0 version of the system.

The latest version 2.36 has been rolled out and now the functionality is accessible to all.

 

Changes made:

Updated Reporting

The reporting system may look very similar to the general user but is now more tailorable by us.

We can now introduce new reports or edit existing reports much easier with the introduction of a new reporting system.

If you need a change to an existing report or introduction of a new report please do not hesitate to contact us.

 

Forgot Your Password

Users from time to time forget their passwords.

To have their password reset users needed to contact a system manager or administrator.

Now users can update their passwords themselves using the “I forgot my password” link shown in the image below.

The process is simple:
  1. Click the link to produce a popup
  2. Enter your username or email address associated with the issue account –  If either are incorrect, you will receive an error message and need to go back and try again
  3. The users is then emailed a code to enter into the popup
  4. Enter the code and the preferred new password
  5. Click the Change Password button

 

Keywords Removed From Export

Exporting metadata was including the keywords which is a list of the words used in the descriptions.

This confused some users and also slowed down the export process.

Having this removed should streamline the export process.

 

Help Files Opening

When selecting the help file required within the help menu on theDMSeffect, the PDF file opened in the same tab the user was using for theDMSeffect.

This meant the user needed to know to press back to return to theDMSeffect.

The PDF files now opens in a separate tab to stop this issues arising.

 

Bug Fixes:

Description As Keywords

The search box used to search the descriptions was titled Keywords.

The title is now Descriptions to reduce confusion on how to search the description column metadata.

Keywords was originally used due to the search actually being the keyword list created from the descriptions.

 

Report Filter

The remove login data tick box had a glitch where it would not remove once a report which had the option had been selected.

Now switching between reports will load the tick box when it is relevant only.

 

Error Messages

Some error messages were showing up when a user made a mistake but then not removing when the right action was taken.

These error messages have been addressed to refresh when a new instruction is ran.

 

Version 2.37 will be coming soon

This version will primarily look to address secure PDF files breaking the use of the system.

From time to secure PDF files are uploaded to the system. Secure PDF files do not allow the system to enter watermarks or allow for the file to combine into combined PDF files (in our system the book function uses this).
